The documents and the information presented on this website are non-binding recommendations by the Association of the Beverage Machinery Industry (ABMI). The ABMI will not be held liable for their use or for the results of their use.

Inquiry

  • Project execution

The "Inquiry" milestone indicates the recommended pre-requisites for the Industry to enter in the "Estimate" phase. A fixed set of minimal requirements, based on the ABMI Inquiry proposal is prepared by the customer.

Minimal content shall be:

  • Customer Information (Name, location, …)
  • Reference (Name or Number of the object)

Scope of Estimate

Estimate

The Estimate Phase is starting with an inquiry from a customer and ends with a non saleable estimate from the Industry. This phase covers all activities related to a project definition and prepares the tender phase. The Format of an Estimate is Industry specific.

Scope of Estimate

  1. Rough technical descriptions of the offered Machines
  2. Inco terms (fright, packaging, insurance)

  7. General sales and delivery conditions

Detailed Inquiry

The "Detailed Inquiry" milestone indicates the recommended pre-requisites for the Industry to enter in the "Tender" phase.

A fixed set of detailed requirements (acc. to the Detailed Inquiry Checklist) is to be jointly developed between “Industry” and “Customer” in order to prepare an accurate saleable offer.

Tender

  • Project execution

The Tender Phase is starting with a detailed inquiry (acc. To check list) from a customer and ends by a contract signed with a supplier. It covers all activities related to a supplier selection. The Industry is working on a saleable offer.

The Format of a Saleable Offer is Industry specific.

Saleable offer content shall be:

  • Customer Information (Name, location, …)
  • Industry Information (Name, location, …)
  • Reference (Name or Number of the object)
  • Price Summary

Contract

  • Project execution

A Contract is a written agreement expressing the parties’ will to be legally bound and signed by the authorized representatives of the seller and the customer. It concerns the legal, commercial, financial and technical terms and conditions applicable to a project.

The Format of a Contract is Industry specific.
In general, a contract should contain the same elements as the tender (cf. above).
It should include among others the following clauses:

Contract content:

  • Parties (general and specific information)
  • Definition of the Project (technical descriptions, customer requirements, characteristics, change over time, documentation, training conditions ...)
  • Definitions of the terms used
  • Delivery terms / locations; site requirement, preparation, installation and training
  • Determination of the price (fixed or subject to revision, possibly based on defined criteria)
  • Insurance
  • Ramp up and acceptance procedures, conditions and terms
  • Force major
  • Assignment of the contract
  • Confidentiality
  • Termination
  • Warranties
  • Termination of the contract
  • Applicability of General Terms and Conditions if applicable

Contract Execution Area

Order Validation

The Order Validation Phase (Vt) is starting with an order and ends with the launch of the manufacturing phase (mt). It covers all necessary activities to confirm and validate completeness of the project detailed technical data not available at time of contract signature. The Order Validation phase should be documented by an annex to the contract (listing missing data) to be signed-up by supplier and customer.

The contractual delivery time can be impacted if the validation time exceeds the duration agreed in the contract.

Standard Sizing Data Certificate shall contain:

Manufacturing

Manufacturing phase covers all activities related to procurement, assembly, testing, and packing. It ends with the functional testing. End date may be impacted by the Order Validation phase.

Factory Acceptance

  • Project execution

The “Factory Acceptance Test” is an optional phase starting at the end of the manufacturing phase. It intends to jointly verify, between Customer and Supplier, the respect of the design data as defined in the “contract” and/or in the “Sizing Data Report”

The verification, if specified in the contract, will be documented by a “Factory Acceptance Test Report”.

The equipment will be dismantled and prepared for shipment after the Manufacturing phase or when the “Factory Acceptance Test Report” is signed by the Customer, when applicable.

Shipment

The shipment phase covers all activities related to the shipment of the purchased goods, as per contract, from supplier manufacturing site(s) to the Customer site.

Shipment specification are to be defined according to international standards from ICC.

The suppliers recommend the following Incoterms: FCA, FOB, DDU, ...place of destination.

Site Preparation

The site opening phase covers all activities (as per check-list) necessary to be fulfilled prior to start the Installation/Erection.

The following preparations have to be performed by the customer prior to start installation mechanical transport into the hall, installation and cabling:

  • Mechanical/electrical assembly conditions
  • Constructional work/storage area at the building
  • Access for transport into the hall
  • Roads leading to the openings or the hall
  • Start up conditions
  • Personal and social issues, working regulations
  • Site utilities
  • Provisional power supply, electrical distribution system
  • The ceiling light in the working areas
  • The heating/ventilation in operation
  • Travel and living conditions
  • Safety and security conditions

Start of Installation

The "start of installation" milestone ends the Site opening and indicates the beginning of the Installation/Erection Phase.

ABMI recommends a "Arrival of goods on site Protocol" witch is a written declaration signed by the Supplier and the Customer. It confirms that the Equipment according to attached packing list has arrived completely and without damages on site.

ABMI recommends a “Status Site opening Checklist” to check the site opening conditions bilateral.

Installation Erection

The "installation-erection" phase is the period of time after milestone "Start of installation" is reached successfully.

The phase includes, but is not limited to following activities:

  • Unload, Uncrate, place and level equipment and line components
  • Supervise and coordinate sequence of installation together with site manager and customer.
  • Frequent on site progress reviews between both parties.
  • Supervise that construction site is run according to all relevant safety requirements
  • Prepare installation protocols and time sheets of the work performed frequently (weekly)

When all work has been completed the "installation-erection" phase ends when the check list for the milestone "completion of installation" is signed by all parties.

Completion of Installation

The Completion of installation is the milestone achieved when all equipment delivered are fully installed and ready for testing.

End of installation is to be notified in order to prepare/start the testing phase.

Installation Testing

The Installation Testing Phase is the period of time between the milestones "Completion of Installation" and "Start-Up". It concerns all activities related to the Static and dynamic testing of the scope of supply. Main focus in this time frame is I/O check; Line/Equipment verification; Maintenance Training and short non-sealable production runs.

Premise is  that the customer has provided all agreed needs in sufficient quantity (raw-, expense-, auxiliary materials) before phase starts.

Conditions to be fulfilled to start the phase

  • Power is available
  • Utilities is available
  • Operators and Maintenance are available
  • Some consumables (representatives of the contractual product mix) for short production (Equipment testing and adjustment; laboratory analysis)
  • Product for short production is available
  • Inspection of the line jointly with the employer's liability insurance association

Start-up

  • Project execution

The "Start-up" milestone indicates when the line is ready to proceed with the "contractual main format ramp-up" phase.The line/equipment is able to produce saleable product.The warranty period starts with the sellable production.

Conditions to be fulfilled to start the ramp-up:

  • Static/Dynamic testing have been properly completed
  • Maintenance and Operator staff is trained and accredited
  • Customer Product relevant parameters (i.e. laboratory check of beverage) are o.k.
  • The line/equipment is ready to operate under "sealable" conditions (not with contractual efficiency)
  • The customer can produce and sale product (commercial usage of equipment) within the ramp-up schedule
  • Operators available
  • Raw materials within specification
  • Agreed Ramp-Up Schedule (Product mix, Targeted production, number of shifts)

Ramp-up

The overall "Ramp-Up" phase is the necessary period of time to reach line/equipment guaranteed efficiency for each contractual format. For time optimization and efficiency, ABMI recommends to start with "Operators training and accreditation" and  the "Contractual Main Format Ramp-Up" without change-over.

This phase is to be concluded by the Contractual Main Format Acceptance prior to perform any subsequent formats ramp-up.

Acceptance

The customer acceptance is the milestone which aims to deliver the project result (solution delivered and installed in full accordance to the contractual specifications and agreed performance).
